About this policy

This policy explains how Polayads Communications Private Limited (“Polayads”, “we”, “us”) handles personal information collected through this website and the enquiries sent through it. Polayads is the brand name of Polayads Communications Private Limited. CIN: Show CINavailable on request. Registered office: Show registered officeavailable on request. We are based in India and work mainly with clients in the United States, as well as in India.

Information we handle while delivering services to a client is governed by the agreement with that client, not by this policy.

Summary

  • We collect what you choose to send in an enquiry, plus the technical information any website needs to run securely.
  • We use it to reply to you, to discuss the work you ask about and to protect the website.
  • We do not sell personal information, and we do not use it for targeted advertising.
  • This website does not use analytics or advertising cookies.
  • Enquiries stored on this website are deleted automatically 24 months after we receive them.
  • You can ask us to access, correct or delete your information.

Information we collect

Information you give us. When you send an enquiry, we collect your name and email address, your project description and, if you choose to add them, your company name, the service you are interested in, and an indication of project scope and timeline. If you email us directly, we receive your email address, your message and anything you attach.

Technical information. When you visit the website, our hosting provider (including its content delivery network) and our security software process your IP address, browser and device details, the pages you request and the time of each request. Some of this is kept in server and security logs.

Email-check result. When you send an enquiry, we record the outcome of the email-address check described below.

We do not ask for payment details, and visitors do not create accounts.

How we use your information

  • To respond to your enquiry and communicate with you about it.
  • To consider the work you ask about and, where appropriate, prepare a proposal.
  • To check that we can reply by confirming that the email address you gave can receive mail.
  • To keep the website secure and protect the enquiry form from spam, fraud and abuse.
  • To meet legal obligations and to establish, exercise or defend legal claims.

We use enquiry information because you have asked us to respond, and technical information because it is needed to run and protect the website. Where a law requires a particular legal basis, we rely on the one that fits, such as your request, your consent or our legitimate interest in running and protecting our business. We do not add you to a mailing list, and we do not make automated decisions about you that have legal or similarly significant effects.

Checking your email address

Before an enquiry is saved, we check that the email address can receive mail. We send only the email address, and nothing else from your enquiry, to Reoon Email Verifier, an email-verification service. The check runs only after the rest of the form has passed our own checks.

  • If the address clearly cannot receive mail, or is a temporary or disposable address, we ask you to check it or use another one, and the enquiry is not saved.
  • If the result is uncertain, or the service is unavailable, your enquiry is accepted as normal.
  • We keep the result with your enquiry. To avoid checking the same address repeatedly, we also keep the result for up to one day under a coded reference, without storing the address itself in readable form.

Reoon processes the address under its own terms and privacy policy.

Protecting the form from spam

We use hidden form fields and submission timing checks. To prevent duplicates, we keep a coded fingerprint of a submitted enquiry for 10 minutes. To limit how many enquiries can be sent in an hour, we keep a coded version of your IP address for one hour. Our security software may also record the IP address and request details of suspicious activity and of attempts to log in to the website.

Who receives your information

  • Service providers that we use to run this website and our business: Hostinger (website hosting, content delivery and hosting backups), Google (Google Workspace business email, which receives a copy of each enquiry), Reoon (email verification) and Wordfence by Defiant (website security). They process information to provide their services to us, under their own terms and privacy policies.
  • Professional advisers, such as lawyers and accountants, where needed.
  • Authorities and others where we believe disclosure is required by law or legal process, or is necessary to protect the rights, property or safety of Polayads, our clients or others.
  • A buyer or successor if our business is reorganised, merged or sold, subject to appropriate confidentiality protections.

We do not sell personal information, and we do not share it with anyone for advertising.

Cookies and similar technologies

When you browse this website, we do not set cookies, and we do not store information in your browser’s local storage. There are no analytics, advertising or tracking cookies, pixels or similar technologies.

WordPress and our security software set essential cookies for people who log in to manage the website. On private review versions of the website, an essential cookie remembers for up to 14 days that a reviewer has been given access.

If we ever add analytics or similar tools, we will update this policy first and ask for consent where the law requires it.

Where your information is processed

We are based in India and most of our clients are in the United States. Our service providers operate in several countries. Your information may therefore be processed in India, the United States and other countries whose data protection laws may differ from those where you live.

How long we keep information

  • Enquiries stored on this website are deleted automatically 24 months after we receive them.
  • Email copies. We also receive each enquiry by email. Email copies are not deleted automatically; we delete them when they are no longer needed.
  • Backups. Website backups made by us and by our hosting provider may contain enquiries until those backups are replaced or deleted. If we ever restore a backup, we apply the 24-month deletion again.
  • Logs. Server, delivery-network and security logs are kept for the periods set by our hosting and security providers.
  • Longer retention. We may keep information longer where the law requires it, or where it is needed to establish, exercise or defend legal claims. If your enquiry leads to a working relationship, the information needed for it is kept in line with the client agreement and our legal, tax and accounting obligations.

You can ask us to delete your enquiry at any time.

How we protect information

We use reasonable safeguards, including encrypted connections (HTTPS), restricted access to enquiries, a website firewall, malware scanning, login protection and regular backups kept outside the public website. No website, transmission or storage system is completely secure, so we cannot guarantee absolute security. If you believe information you sent us has been compromised, please contact us.

United States. Some US states give their residents additional privacy rights where their privacy laws apply to a business. If one of those laws applies to our handling of your information, we will honour your rights as that law requires.
